The Venue Checklist Every Retreat Leader Needs Before They Book

The devil really is in the detail. A retreat venue sets the emotional and energetic tone for the whole event; long before your first session begins.

Choosing a retreat venue is the single decision that shapes everything else. Get it right and the property quietly does half your work, holding the group, setting the tone, carrying the experience. Get it wrong and you spend the week firefighting problems the venue should have solved months earlier, in front of the very people who paid to be looked after. The trouble is that almost everything you need to know is invisible in the photographs. A place can look flawless online and fall apart the moment twelve real people arrive with real needs.
Over years of hosting many retreat leaders at Oliveto and over 250 retreats, we learned exactly where venues quietly let hosts down, and turned it into a working checklist that walks through every area you should check before you sign. This article is a tour of those areas: what each one is, and why it matters more than it first appears.
The full set of questions, the actual tool you take to a site visit, lives in the downloadable guide at the end. Consider this the map; the guide is the territory.

Location: the power of place

The setting either distracts from the journey or deepens it. The most meaningful retreats tend to happen off the beaten track, away from crowds and tourist noise, immersed in nature or a culturally rich region, somewhere that creates a genuine sense of arrival the moment you step onto the property. Location is much more than how beautiful it is. Anyone can find a beautiful space. It is about seclusion balanced against access, about whether the surrounding landscape actually supports your retreat’s purpose, and about practical things that only matter when they go wrong; how far the nearest medical help is, how the season changes what the place offers. Our guide breaks location down into the specific things to check so a beautiful setting doesn’t hide an impractical one.

Accommodation and atmosphere

Your guests need to feel safe, supported and at home from the moment they arrive to the moment they leave, the venue should feel like home, only better. That depends on questions most leaders don’t think to ask until it’s too late: how the rooms are configured, whether the bed arrangements actually fit the group you’re bringing, what’s genuinely included, and critically whether the space is exclusively yours or shared with other guests. The atmosphere matters as much as the logistics: does the decor calm and inspire, does the place carry a story that adds to the experience? Our downloadable checklist lays out exactly what to confirm so nobody arrives to a surprise.

Retreat spaces and amenities

The room you hold your sessions in has to carry the energy you’re trying to create. That means dedicated, adaptable spaces, not a lounge room or dining terrace with the table pushed back, sized properly for your group, well-ventilated, ready to shift between an uplifting morning and a calming evening. It means knowing what equipment is actually provided, whether there’s indoor and outdoor space for movement and ceremony, and whether there’s a weather-proof option if and when the weather turns. These are the details that separate a venue built for retreats from a holiday home with good light. The guide spells out what to look for in each space.

The behind-the-scenes tech

When the practical infrastructure is handled, you’re free to stay present and in flow. When it isn’t, you’re troubleshooting a sound system while twenty people wait. Reliable connectivity, the right audio and visual support, lighting that works for evening sessions, and someone on hand if something fails, none of it is glamorous, all of it is the difference between a session that lands and one that stalls. The checklist covers the specifics worth confirming before you arrive, not after.

Food that does more than feed

Food is not just fuel, it’s one of the most powerful tools you have. How people are fed shapes how they connect, how deeply they settle, and how the days feel. The questions worth asking go well beyond “is there catering”: whether meals can be intentionally designed to match the energy of each day, whether the food is genuinely local and sustainably sourced, whether it encourages connection and lingering, whether every dietary need is truly accommodated, and how private-chef and catering arrangements actually work. This is an area where venues vary enormously, and where the right one transforms the week. The guide turns it into a clear set of things to confirm.

Local experiences that elevate

The surprise, soul-stirring touches are what lift a retreat from wonderful to unforgettable, a truffle hunt, a winemaker’s afternoon, art therapy with a local artist, sound healing, an excursion that mirrors the theme of your week. But there’s craft in getting them right: whether they’re authentic and rooted in the place or packaged for tourists, whether they can be tailored to your retreat, how minimums and cancellations work, and the detail many leaders miss, whether you can fit it all into your day, is it the right season, whether they can be billed to guests separately so you can offer more without inflating your headline price. The checklist makes those practicalities explicit.

Safety, security and peace of mind

Quietly, this is the area that lets you relax. Knowing the property is secure, that health and safety measures are genuinely in place, that there’s staff presence when you need it and that help is reachable if something happens, this is what allows you to be fully present with your group rather than holding a low hum of worry. It’s rarely front of mind when you’re falling for a beautiful venue, which is exactly why it belongs on a checklist. The guide sets out what to confirm so nothing is left to assumption.

The Real Value, support and the partnership

This is the area that most separates a property from a partner; and it’s the one we believe matters most. True value isn’t the headline rate; it’s what you gain in confidence, clarity and hours returned to you. Is the team responsive and experienced with retreat hosts? Will they help with planning, scheduling and guest coordination? Do they run a pre-arrival walkthrough, coordinate transfers, connect you with trusted local chefs and guides, support your marketing, and stay clear on costs with no hidden surprises? The right answers here are the difference between arriving as a calm, prepared leader and arriving as an exhausted logistics coordinator. The full guide turns the whole partnership, before, during and after, into questions you can put to any venue.

You’re not meant to do it all alone. The better the venue’s support, the more present you get to be; and the more your guests feel it.
